Chorus voicemail

Below are the options for the Chorus voicemail system.

If you are using Telephony over Teams, your voicemail can be accessed via Teams and The official Microsoft documentation can help you find your voice messages and transcripts.

Set a voicemail PIN

A Chorus voicemail password is required in order to change your greeting or to access voicemail for a personal (SSO) assigned voicemail account

  1. Go to https://register.it.ox.ac.uk/self/chorus_pin 
  2. Enter a six digit numerical PIN in the PIN fields (see note below)

The resulting message will advise that the voicemail PIN will be available for use in ten minutes. If you try to use it before it is ready, you will be advised that the voicemail PIN is not valid, and your account will be locked after three attempts. If this happens, you can wait for 30 minutes and try again – there is no need to call the Service Desk.
Please note, voicemail in this account is personal to the user. 
 

 

 

A Chorus voicemail PIN is required in order to change a greeting or to access voicemail for a 'non-person' voicemail account (for example, a shared reception phone)

The PIN needs to be set by your Phoneman administrator (Phoneman is a software tool that allows the unit to manage this locally).

Voicemail via the web

For each of the sections below, you will need to be logged into the voicemail Web Assistant

 

  1. Browse to https://voicemail.chorus.ox.ac.uk (requires VPN to be on) 
  2. In the 'mailbox/ID number' box, enter your 5-digit extension number
  3. In the 'PIN' box, enter your 6-digit voicemail PIN
  4. Click 'Login'
  1. First, log into the voicemail Web Assistant (first section above)
  2. Select ‘Personal settings’ from the left menu, then ‘Recordings’
  3. Click 'Create'
  4. Choose 'Record via telephone now' (or upload recording if you already have a recording) and click 'Create'
  5. A pop-up will ask for the number to call you on, enter your phone number if it isn't there already, and click 'OK'
  6. When the phone rings, pick it up and then click 'Record' after you have finished, hang up and click 'Save' on the screen
  7. You can download the greeting if you wish to listen to it (under ‘Personal settings’ from the left menu, then ‘Recordings’)
  1. First, log into the voicemail Web Assistant (first section above)
  2. Select ‘Mail Client’ from the left menu, then ‘Inbox'
  3. If you have any messages these will be here, click on the voicemail to listen to (which will be a link under 'Subject')
  4. Click on 'Play' to download and save the file (.wav file extension).  This can then be opened to play the message on the computer (via common installed audio software, for example, Windows Media Player or Audacity)
  5. Click on 'Play on phone' and you will get an option of entering a phone number (for example a mobile), then press 'Play' to listen to the message

  2. Select ‘Mail Client’ from the left menu, then ‘Inbox'
  3. If you have any messages these will be here, click on the voicemail you want to save (which will be a link under 'Subject')
  4. Under 'Attachments' double click on the attachment name link (this will be a .wav file extension)
  5. A 'Save As' pop up box will appear, navigate to where you want to save on your computer, and rename if required
  6. Click on 'Save'

If you do not wish to have any voicemail messages, set up an announce and hang-up mailbox so that callers are not able to leave a message.

Your greeting should tell callers how to contact you via an alternative method.

  1. First, log into the voicemail Web Assistant (first section above)
  2. Select ‘Personal settings’ from the left menu, then ‘Time profiles'
  3. Tick the box 'Message recording not allowed'
  4. Click 'Save'
Voicemail via the telephone

For each of the sections below, you will need to be logged into the chorus voicemail system (called 'OpenScape Xpressions') on the phone

  1. Lift the receiver and press the 'Messages' button on the phone
  2. When prompted for your password (this is a PIN), enter the 6-digit PIN followed by #
  3. You are then at the main menu for the voicemail system and you can then follow the steps in the sections below
  1. First, access the voicemail system (first section above)
  2. You will be presented with a series of options. To fast track to the option to record a new greeting, enter 8111. There is no need to wait for the options to be read out before entering this number.   TIP: if you hear ‘invalid selection’ after entering the number above, enter 311 and resume from step 3 below
  3. When prompted, record your greeting and press *
  4. To replay your greeting, press 73
  5. If you are happy with the greeting, press # to end. Otherwise, to delete and re-record your message, press 61, and resume at step 3
  6. You can now hang up
  1. First, access the voicemail system (first section above)
  2. The system will state the options available.  If you don't have any messages then the option to listen to your messages will not be given.  TIP: If you know you have messages you can press 3, no need to wait to listen to the options
  3. Only if you have messages the system will state "To listen to your messages press 3"
  4. Press 3 and here you can listen to your message, replay it, delete it, and so on
Remote voicemail access
  • If you have access to the web, please see the instructions under the second tab 'Voicemail via the web'
  • To get access to the voicemail system from outside the university (for example from a mobile), please call 01865 287000. You will be asked to enter your University phone number and voicemail PIN
