How to manage Outlook profiles

Your Outlook profile holds the information, email accounts and data files of your Outlook setup.  Additional profiles can be useful in certain situations and replacing your current profile can resolve certain issues.

Outlook continues to display the email address your profile was created with, even after your default email address is changed. Outlook will still send mail using your default email address, so this display issue should not affect your use of Outlook, but if necessary then you can need to add a new profile to replace the existing one.

You can check or update your default email address in your preferred Nexus email settings.

  1. Select the Windows Start menu
  2. Type control panel, then select Control Panel
  3. Ensure View by is set to Small icons
  4. Select Mail Show profiles > Add
  5. Provide a name for the profile, such as Outlook <today's date>
  6. Set up your mailbox, for assistance please refer to our page on how to configure your email client
  7. If replacing your current profile, make it your default profile
  1. Select the Windows Start menu
  2. Type control panel, then select Control Panel
  3. Ensure View by is set to Small icons
  4. Select Mail > Show profiles > Add
  5. Provide a name for the profile, such as the shared mailbox name
  6. Setup the shared mailbox as an account
  1. Select the Windows Start menu
  2. Type control panel, then select Control Panel
  3. Ensure View by is set to Small icons
  4. Select Mail > Show profiles
  5. Select either:
    Always use this profile, to use the profile specified in the dropdown list
    - or -
    Prompt for a profile to be used, to choose a profile each time Outlook starts
  1. Select the Windows Start menu
  2. Type control panel, then select Control Panel
  3. Ensure View by is set to Small icons
  4. Select Mail > Show profiles
  5. Select the profile you want to remove
  6. Select Remove
