How to use OneDrive for Business
Share, store and synchronise work files
OneDrive for Business is an integrated part of the Nexus365 service, allowing you to temporarily store your work files or share them with others.
- If not installed already, download and install OneDrive
- Windows: Select Windows Start menu , then type OneDrive
macOS: Press cmd+space, then type OneDrive - Select the OneDrive application
- Sign in with your username in the format abcd1234@ox.ac.uk and single sign-on (SSO) password
- Access OneDrive
- Move or copy files from your computer to the destination folder
or
When editing files, save them directly to the destination folder
Share with specific people
- Access OneDrive
- Navigate to the file or folder to share
- Right click on the item, then select Share
- Provide details of the people to share the items with
- Select , then update the required editing rights
- Select Send
Share with all Nexus365 users
- Access OneDrive
- Navigate to the appropriate folder
- Right click on the item, then select Share > > People in Nexus365
- Select the pencil icon , then choose the required editing rights
- Select Apply > Copy link
- You can then paste the link and distribute it in the most suitable way
Share with everyone
The option to share files or folders with 'Anyone' is disabled in Nexus365
You can allow others to add files directly to your OneDrive.
- Access OneDrive
- Navigate to a suitable location for an upload folder
- Right click in the folder, then select New > Folder
- Provide a suitable folder name
- Share the folder, including editing permissions
The desktop application does not display files shared with you, but shortcuts to shared folders can be added manually.
- Access the web version of OneDrive
- Select Shared > With you
- Select the folder to add
- Select Add shortcut to My files
- Access OneDrive
- Navigate to the shared file or folder
- Right click on the item
- Select Manage Access > Links
- Select for each link
Access inherited from higher folders is not displayed. If the status of the item's folder indicates that it is shared, you will need to also check access to its higher folders.
- Access OneDrive
- Navigate to the shared file or folder
- Right click on the item, then select Manage Access > Links
- Select to show who can access the link, then X to remove individual access
or
Select to remove the link
If access is inherited from higher folders, sharing permissions on the higher folders will need to be updated.
- Sign in to Office 365 using your username in the format abcd1234@ox.ac.uk and single sign-on (SSO) password
- From the top left corner, select > OneDrive
Microsoft provide further OneDrive assistance.
- Access OneDrive
- Select My Files
- Navigate to the destination folder
- Select Upload
- Select either Files or Folder
- Select the items to add
Share with specific people
- Access OneDrive
- Select My Files
- Navigate to the file or folder to share
- Next to the item, select ... > Share
- Provide details of the people to share the items with
- Select , then update the required editing rights
- Select Send
Share with all Nexus365 users
- Access OneDrive
- Select My Files
- Navigate to the file or folder to share
- Next to the item, select ... > Share > > People in Nexus365
- If required, update the editing rights in More settings
- Select Apply > Copy link
- You can then paste the link and distribute it in the most suitable way
Share with everyone
The option to share files or folders with 'Anyone' is disabled in Nexus365.
You can allow others to add files to your OneDrive.
- Access OneDrive
- Select My Files
- Navigate to a suitable location for an upload folder
- Select + New > Folder
- Provide a suitable folder name
- Share the folder, including editing permission to allow files to be added to it.
- Access OneDrive
- Select Shared > Shared with you
Direct links to shared files
Files can also be accessed using direct links. Links are emailed automatically and must be used by external recipients without a OneDrive for Business account.
The sign in prompt when following a direct link may ask for single sign-on (SSO) details, but external recipients should use their own email details.
- Access OneDrive
- Select My Files
- Navigate to the file or folder to check
- Next to the item, select ... > Manage access
- Check the People, Groups and Links tabs
Access inherited from higher folders is not displayed, you will need to check access to the item's higher folders.
Sharing report
You can also run a report to show your shared files and folders:
- Access OneDrive
- Select > OneDrive Settings > More settings > Run sharing report
- Select the OneDrive folder to save the report to
- Access OneDrive
- Select My Files
- Navigate to the file to check
- Hover your cursor over the file to display a pop-up window
- Select the link displaying the number of times the file has been viewed
- Access OneDrive
- Select My Files
- Navigat to the shared file or folder
- Next to the item, select ... > Manage access > Links
- Select to show who can access the link, then X to remove access
or
Select to remove the link
If access is inherited from higher folders, sharing permissions on the higher folders will need to be updated.
- If not installed already, install OneDrive from your device's app store
- Launch the OneDrive app
- Sign in with your username in the format abcd1234@ox.ac.uk and single sign-on (SSO) password

- Access OneDrive
- Select Files
- Navigate to the destination folder
- Select + > Upload
- Select the items to add
Share with specific people

- For the item to share, select > Share
- Provide the details of people you are sharing the items with
- Select the pencil icon , then choose the required editing rights
- Select Send
