Access to Nexus365 is controlled by Microsoft licensing and there are three entitlement groups that an account could be licensed with.
1. Basic Nexus365 collaboration functionality (mailbox and calendar only)
All eligible members of the University that have access to the Nexus365 collaboration suite will have access to email (a 50GB mailbox quota) and calendaring.
For some card categories this is the maximum level of access to the Nexus service that a user will have. This also applies to Shared and secondary accounts that only have access to a Nexus mailbox and calendar.
2. Core Nexus365 collaboration functionality (A1 licence)
The following is considered the core Nexus365 collaboration functionality.
Services |
Email and Calendaring (50GB mailbox quota) |
OneDrive (100GB OneDrive quota) |
SharePoint |
Teams |
Planner |
Forms |
Online & Mobile Office app (Outlook, Word etc) (online only - not Office download) |
Teams Application - Online, mobile and desktop application |
3. Extended Nexus 365 collaboration functionality (A3 licences)
The University has purchased A3 faculty licences for most staff accounts and A3 Student Benefit licences for all student accounts.
The A3 licences offer additional functionality and settings on top of the Core Nexus365 Collaboration functionality you would get from an A1 licence.
These services include:
Services |
Email and Calendaring (100GB mailbox quota) |
Power Automate |
MS Bookings |
Office365 Desktop application download |
Entitlements based on University card status
The following entitlements on card status exist:
Staff - with card code MC, US, DC and CS may be on either an A1 or an A3 licence.
New staff are assigned an A1 faculty licence giving them the Core Nexus365 Collaboration functionality. Should a member of staff require the extended Nexus 365 functionality, they can request a move to an A3 faculty licence using the Nexus365 A3 Staff Licensing Request Form.
Please note that should a member of staff using an A3 faculty licence have their card code changed then they may automatically be moved back to the A1 faculty licence and Core Nexus365 Collaboration functionality.
Academic Visitors - with card code AV
Academic visitors will only be provided with the A1 faculty licence making available the Core Nexus365 collaboration functionality.
Students - with card code GT/GR. UG, VR, VD, VV and VC.
All students are assigned an A3 Student Benefit licence and have the Extended Nexus 365 collaboration functionality.
Retired staff with card code FR
Retired staff with card code FR will only have access to basic Nexus365 collaboration functionality (mailbox and calendar only). They will automatically lose access to all other Nexus365 services when their card status changes. For more information see Finishing IT use at Oxford.
Retired staff with card code FS
Retired staff with card code FS will continue to have access to the Core Nexus365 collaboration functionality provided by the A1 licence. Any retired staff on an A3 license will be automatically moved to an A1 license when their card status changes. Full details and how to apply is at Retiree cards.
Shared and secondary accounts
Shared mailboxes and secondary accounts only have access to basic Nexus365 collaboration functionality (mailbox and calendar only) and are not entitled to any further Nexus365 collaboration suite services. For more information, see IT Services accounts.
Licence Accuracy
Whilst every effort is made to ensure that all accounts are given the correct entitlements based on card status, it should be noted that changes to card and account data may result in some account types not matching their documented entitlements. Read the information at University card and IT services entitlements and if you have the wrong entitlements for the type of University card you have, contact the Service Desk.
